7. HIPAA & Medical Privacy

Veteran Medical Disability Group is a HIPAA-compliant organization. All Protected Health Information (PHI) you submit through our secure document portal — including your C-File, service treatment records, DD-214, private medical records, and past disability claims documents — is transmitted over an encrypted, HIPAA-compliant connection and stored encrypted at rest. Access to your PHI is restricted to our licensed medical team and authorized administrative staff on a need-to-know basis.

We do not sell your protected health information. We share PHI only as necessary to deliver our services, with your authorization, or as required by law. Our providers follow HIPAA Privacy Rule and Security Rule standards, and we maintain Business Associate Agreements with any vendor that handles PHI on our behalf.

8. Data Security

We implement industry-standard safeguards to protect your information, including TLS/SSL encryption in transit, AES encryption at rest, access controls, and regular security reviews. No method of transmission or electronic storage is fully secure, but we take reasonable measures to protect your data and comply with HIPAA, state breach-notification laws, and carrier A2P requirements.

9. Sharing & Third Parties

We do not sell or rent your personal or health information. We may share information with:

  • Licensed medical providers in our network who evaluate your case and prepare your Nexus Letter or DBQ
  • Messaging & CRM platforms that transmit SMS, phone, and email on our behalf (bound by Business Associate Agreements and carrier A2P terms)
  • Legal & compliance advisors, when necessary to fulfill our obligations
  • Government or law enforcement agencies, if required by law, subpoena, or court order

We do not share, sell, or rent your mobile SMS opt-in data, phone number, or messaging consent records to any third party for any purpose. Your mobile number and SMS opt-in information are used solely by Veteran Medical Disability Group to deliver the case-coordination messages you requested. We never share your information with predatory claim-mill companies or take a percentage of your backpay. Your data is used solely to support your case.

10. Your Rights & Choices

Depending on your state of residence, you may have the right to:

  • Access the personal and health information we hold about you
  • Request correction of inaccurate information

  • Opt out of SMS text messaging by replying STOP (see Section 4)
  • Withdraw phone call consent (see Section 5)
  • Unsubscribe from email marketing (see Section 6)

We retain SMS and email consent records, opt-out requests, and message logs for the period required by carrier A2P / 10DLC and TCPA compliance — typically a minimum of four years. After the retention period, data is securely destroyed.

12. Children's Privacy

Our services are intended for adults. We do not knowingly collect information from individuals under 18. If we learn we have collected information from a minor, we will delete it promptly.
